For customers from Switzerland and Norway

FlorAccess will handle all required customs clearance documentation, including Phyto passports. There's no need for you as a customer to do any specific preparations. Just place your order and wait for the shipment to arrive at your doorstep. Did you know FlorAccess also invoices you in NOK or CHF?

For UK Customers

FlorAccess has successfully set up everything needed to cater to our valued customers in the UK following the strict import processes created after Brexit. Our team handles all the required paperwork, including phytosanitary inspections, customers' papers, VAT registration of the products coming into the UK, and the submission of IPAFFS applications. As a registered IPAFFS Agent with Defra, FlorAccess is authorised to submit these applications on your behalf. This saves you significant time.

IMPORTANT UPDATE: Effective April 8th, 2024, IPAFFS has replaced PEACH for notifying enforcement authorities about imports into Great Britain. As such, PEACH is no longer in use, and compliance with IPAFFS procedures is now mandatory for all imports into the UK.

If you’re importing goods for the first time:

There are a few important steps to take before placing your order. Once these arrangements are in place, our team can seamlessly process your upcoming orders without any additional actions required on your part. After the initial setup, FlorAccess will handle the rest of the process.

  • Obtain an EORI number here.

  • If you don't already have a government gateway account, you'll need to register for IPAFFS and create a new government gateway account during the registration process. You can initiate the registration by clicking on the green 'Start now' button on this page.

  • After setting up your account, you can proceed to register for Defra services, including the IPAFFS service.

  • Within your IPAFFS dashboard, connect FlorAccess as your designated IPAFFS agent by accessing the 'Manage Trade Partners' section. Utilize FlorAccess's agent code: 78BEF3402F. Grant authorization for all three categories: Import of products, animals, food, and feed services; Apply for plant export certificates and inspections; Export Health Certificates.

  • Please inform us via email at support@floraccess.com once all steps are completed.

Please contact the APHA Helpdesk on 0300 100 0313, or e-mail phsi-importers@apha.gov.uk. Their opening times are 6 am - 12 pm every day.

If you were using the PEACH IT system:

  • Effective April 8th, 2024, IPAFFS has replaced PEACH for notifying enforcement authorities about imports into Great Britain. Consequently, submitting import pre-notifications through the PEACH system is no longer possible. We urge you to register for the IPAFFS system here. Choose the option 'register for other services' and then select 'IPAFFS'.

  • Additionally, ensure you link FlorAccess as your import agent by navigating to ‘Manage Trade Partners’ in your IPAFFS dashboard. FlorAccess's agent code is 78BEF3402F. Grant authorization for all three categories: Import of products, animals, food, and feed services; Apply for plant export certificates and inspections; Export Health Certificates.

  • If your Point of Destination (POD) is already available on PEACH, there's no need to register it again. However, starting from April 30, 2024, the physical inspection of your incoming goods will no longer occur at your registered POD, but will take place at a border control post in Great Britain, specifically at Harwich Port.

Please contact the APHA Helpdesk on 0300 100 0313, or e-mail phsi-importers@apha.gov.uk. Their opening times are 6 am - 12 pm every day.

Phytosanitary checks

Before plants enter the UK, they must undergo an official inspection to check for harmful organisms. Our team takes care of this process on your behalf. On the day of departure, we will file the IPAFFS declaration for you. This declaration serves to inform the authorities about your incoming order and facilitates the uploading of proof related to phytosanitary checks. FlorAccess holds official registration as an Agent with Defra, allowing us to efficiently submit applications on your behalf.

Added VAT, clearance fees, and phyto certification

As a result of Brexit, additional documentation is necessary. For each shipment, fees will apply for export declarations, import declarations, and phytosanitary inspection and certification. These fees will typically amount to around 2x €65.00 per shipment. Furthermore, the HMRC requires us to add 20% VAT to all incoming shipments. This amount will be added to your invoice.

Lastly, the APHA charges an additional £ 24.00 for processing your IPAFFS application. They will invoice you directly. Please contact APHA for the exact and most up-to-date charges.

No, according to the information provided on the IPAFFS FAQ page, the current fees will continue to apply. There is an ongoing consultation regarding a potential common user charge, and further details will be provided in due course.
